What this notice covers
This notice covers information collected through the Asset Finance Co website, including quote and enquiry forms, contact links, telephone calls, email and WhatsApp conversations. It does not replace a separate notice that may be given by a finance provider or another organisation involved later in a proposed agreement.
How website enquiries are delivered
When you submit an email enquiry form, the website sends the information to a Netlify Function. The function validates the required fields and uses Resend to email the enquiry to the Asset Finance Co broker team. The website does not create a lending decision, approve finance or perform a credit search because you submit a form.
The website does not use a customer database to store form submissions. Netlify and Resend may process limited request and delivery data as service providers for hosting, security and email delivery. We retain the enquiry and related correspondence only as long as necessary for the purpose collected, including legal, accounting, regulatory and complaint-handling requirements.
If you choose WhatsApp, the website opens a WhatsApp chat with the details you have chosen to share. WhatsApp then processes that communication under its own terms and privacy information. No WhatsApp message is sent until you review and send it in WhatsApp.
Our forms do not currently accept document uploads. Do not send special-category information, unnecessary identity documents or information about another person unless it is relevant and you are authorised to provide it.
The information we collect
- Identity and business data: name, company or trading name, business type and trading history.
- Contact data: email address and telephone number.
- Enquiry data: finance type, asset, supplier, approximate amount, timing, preferences and notes you provide.
- Technical data: browser, device, security and request information needed to operate and protect the website.
- Marketing preferences: your choices about whether and how we may send marketing communications.
How we use your information
We use information to respond to your enquiry, understand the asset and business requirement, discuss possible finance routes, communicate with you, keep appropriate records, maintain website security, manage complaints and meet our legal and regulatory responsibilities.
An enquiry through this website does not itself authorise a credit search. If a later application or provider process may involve a search, the process and its implications will be explained before it proceeds.
Who we may share information with
We may share relevant information with AFS Compliance Limited as our principal firm, appropriate finance providers where this is necessary to explore a proposed route and has been explained to you, professional advisers, regulators, fraud-prevention services, and our service providers including Netlify and Resend. We do not sell personal information and do not send it to a lender merely because you browse the website.
Lawful bases and processing schedule
The lawful basis depends on the purpose and circumstances. This table summarises the main website activities.
| Purpose | Typical basis | Information involved |
|---|---|---|
| Respond to an enquiry | Consent, legitimate interests or steps requested before a contract, depending on the context | Identity, contact, business and enquiry data |
| Send an email enquiry to the Asset Finance Co team | Consent to be contacted and legitimate interests in handling the enquiry | Identity, contact and enquiry data |
| Open WhatsApp when you choose that option | Your instruction to use WhatsApp | The message and contact details you include |
| Explore suitable finance routes | Legitimate interests or steps requested before a contract, as applicable | Business, contact and enquiry data |
| Meet regulatory, legal, security and complaint obligations | Legal obligation or legitimate interests | Relevant records and communications |
Retention, security and international processing
We keep personal information only for as long as necessary for the purpose collected, including legal, accounting, regulatory, complaint-handling and record-keeping requirements. Contact the Data Protection Officer for the retention period relevant to a particular record.
Netlify and Resend are independent service providers. Some service providers may process information outside the UK. Where that happens, we use the safeguards required by applicable data-protection law. No internet transmission is completely risk-free, so please provide only information relevant to your enquiry.
Your rights
- Access: ask for a copy of the personal information we hold about you.
- Correction: ask us to correct incomplete or inaccurate information.
- Erasure: ask us to delete information where there is no good reason to keep processing it.
- Object or restrict: object to certain processing or ask us to restrict it.
- Withdraw consent: where consent is the lawful basis for processing.
- Portability: request transfer where the right applies.
To exercise a right or ask a privacy question, contact gdpr@afsuk.com.
How we minimise and manage information
We aim to collect the minimum information needed to understand an enquiry and respond to it. Required form fields are limited to contact details and the basic asset or finance context. Optional notes should describe the business question rather than include full bank statements, identity documents, medical information or details about another person.
If an enquiry moves to a provider process, the information requested and the relevant privacy notice may change. We will explain why further information is needed and who is expected to receive it. A provider may become an independent controller for its own underwriting, agreement administration and statutory records.
Contact choices and response handling
Email enquiries are sent through the website’s Netlify Function and Resend delivery route. The WhatsApp option first sends the enquiry by email, then opens WhatsApp with the same details for you to review and send. Opening WhatsApp does not itself send a message; you remain in control of the final send action and WhatsApp applies its own privacy terms.
You can ask us to stop a conversation, correct a detail or explain the next step at any time. This does not necessarily remove records we must retain for legal, regulatory, accounting or complaint purposes. To exercise a data right, contact the Data Rights address below and include enough information for us to identify the request without sending unnecessary sensitive documents.
Data Protection Officer and complaints
Our Data Protection Officer is Gulshan Khan. Contact gulshan@vernovafinance.co.uk with a data-protection question or complaint. You can also complain to the Information Commissioner's Office.
Changes to this notice
We may update this notice when our services, processing arrangements or legal obligations change. The date at the top of this page identifies the current version. Historic versions are available by contacting the Data Protection Officer.
